The National Democratic Institute for International Affairs (NDI) seeks a Program Assistant to provide programmatic and general administrative support to the Gender, Women and Democracy (GWD) Team. This includes support to the Director, Senior Technical Advisor, and other team members in the day-to-day activities of the GWD team, including support to the planning, designing and implementing of the team’s programs.

The Program Assistant will support GWD team members and the functional director in the team’s day-to-day activities, and provides support to the planning, designing and implementing of team programs related to gender, women and democracy, including through delivery on travel and logistics, event planning, financial reconciliations, managing GWD’s printed resources and the Director’s schedule/calendar.

Responsibilities:

Under close supervision and direction of a senior team member, the Program Assistant will perform the following duties:

  • Provides administrative and logistical support to all team activities, including travel and financial management;
  • Contributes to writing and reporting of various documents specific to the team and/or region;
  • Creates initial drafts of budgets; and monitors program budgets;
  • Participates in program support and conducts research on programs;
  • Creates first drafts of presentations and collates GWD resources for team members;
  • Develops messages for GWD’s Twitter account;
  • Works with the Director to manage the Director’s schedule/calendar;
  • Provides administrative support for proposal production and work plan formulation; takes part in strategic and work plan discussions;
  • Manages GWD’s publications and printed resources;
  • Attends meetings to keep up to date on the latest information on team, functional area, or partner.

Qualifications:

  • Bachelor’s degree, preferably in Gender or Gender Studies with Political Science, International Relations, Development or a related field; Additional years of relevant work experience may be substituted for educational requirement on a one-for-one basis;
  • Demonstrated coursework and/or internships in gender and international development, community organizing, political campaigning, organizational development, legislative affairs or related subject;
  • Good interpersonal skills to effectively interact with all levels of staff, U.S. and foreign government personnel and NGO community;
  • Good oral and written communication skills to effectively present information and respond to questions;
  • Capacity to work both independently and as a member of a team;
  • Ability to define problems, collect data, establish facts and draw valid conclusions;
  • Working knowledge of Microsoft Office Programs;
  • Experience with Google Apps (Gmail, Calendar, Google Drive, G+, etc.) strongly desired;
  • Working knowledge of basic budget and accounting procedures;
  • Interest in and knowledge of the gender and politics agenda;
  • Gender and political analysis skills;
  • Competence in foreign language(s) is an advantage;
  • Ability to effectively articulate NDI mission statements and program/project initiatives;
  • Excellent organizational skills and attention to detail;
  • Ability to prioritize and manage multiple tasks simultaneously and meet deadlines;
  • Ability to apply discretion and maintain confidential information.
